Empress Wellness – Service Overview & Booking Terms

By proceeding with your booking, you acknowledge and agree to the following service description and terms and conditions.


1. Service Overview

At Empress Wellness, each appointment is offered as a dedicated space to honour your personal journey with care, professionalism, and respect. Services are delivered within a supportive and client-centred environment and may incorporate a range of holistic and therapeutic modalities, including counselling, hypnotherapy, creative arts therapy, somatic approaches, body-based therapies, shamanic-informed practices, yoga, and sound healing.

A complimentary 10-minute introductory call is available to discuss your circumstances and determine whether the service is an appropriate fit for your needs.

Standard appointments are 60 or 90 minutes in duration. Therapeutic planning is collaborative, and clients retain autonomy regarding the timing, frequency, and number of sessions.

Clients seeking outreach or home-based appointments in the Caboolture region must make direct contact prior to booking to determine suitability and availability. Travel fees may apply depending on location.


2. Eligibility & Consent

Services are provided to individuals aged 18 years and over.

By booking, you confirm that you have the legal capacity to consent to services and agree to these terms.


3. Appointment Logistics & Intake Requirements

For in-person appointments, the service address will be provided via email and/or text message once full payment has been received.

Clients are required to complete all intake documentation and return it as soon as reasonably possible, and no later than 24 hours prior to the scheduled appointment. This ensures sufficient time for review and appropriate preparation prior to session commencement.

A current and contactable phone number must be provided as a mandatory requirement.

Clients are responsible for disclosing all relevant medical, psychological, and physical conditions, including injuries, medications, allergies, sensitivities, and any contraindications that may impact participation in services.

Failure to provide required documentation, accurate information, or valid contact details may result in the appointment being postponed or cancelled.


4. In-Person Appointment Conditions

In-person services are conducted from a private residential premises.

·  The premises is a single-level building however is not wheelchair accessible

·  A domestic cat resides at the premises. Clients with known, suspected, or uncontrolled cat allergies are advised to book an online session or request an alternative arrangement

·  Environmental factors outside of the Proprietor’s control may occasionally occur, including neighbouring activity, traffic, noise, or external odours

By choosing an in-person appointment, you acknowledge and accept these conditions.


5. Walk & Talk Therapy Conditions

Walk and Talk Sessions and Nature-Based sessions may be conducted public outdoor settings vetted by the Proprietor in Daylight Hours Only.

By participating, clients acknowledge and accept that:

·  Sessions occur in public environments and confidentiality cannot be guaranteed to the same extent as private sessions (refer Section 11)

·  Participation is voluntary and at the client’s own risk (refer Section 21)

·  Clients are responsible for their physical capacity, mobility, and safety

·  Appropriate clothing, footwear, and sun protection must be worn

·  Clients must bring water and carry a mobile phone

·  Environmental conditions are variable and accepted (uneven terrain, biodiverse flora and fauna, air conditions, traffic, noise and community interactions)

·  The Proprietor may cancel or modify sessions due to safety or weather, with alternatives offered


6. Online Session Requirements

For all online appointments, clients must ensure:

·  A stable internet connection and suitable device

·  A private, quiet, interruption-free environment

·  Punctual attendance

·  Use of headphones

Clients must be seated (or lying for hypnotherapy) in a safe and comfortable position for the session duration.

In the event of internet disruption, clients must have access to a working telephone.

All sessions transition to conclusion approximately five (5) minutes prior to the scheduled end time.

Late arrival does not extend session duration.


7. Cancellations & Rescheduling

Appointments cancelled with more than 24 hours’ notice are eligible for a refund.

Appointments rescheduled with more than 24 hours’ notice may be transferred to an alternative date without additional charge.

Cancellations made within 24 hours of the scheduled appointment time, as well as non-attendance (no-shows), are non-refundable.

In the event of a genuine emergency, clients must make direct contact as soon as reasonably possible. Any exception or accommodation is granted at the sole discretion of the Proprietor.

Where appropriate, in-person appointments may be converted to online sessions due to illness or unforeseen logistical circumstances at short notice.


8. Illness & Contagious Conditions

Clients must not attend in-person appointments if they are experiencing symptoms of a contagious illness.

If you are scheduled for an in-person session and become unwell, you are required to notify the Proprietor as soon as reasonably possible.

Where clinically appropriate, appointments may be converted to an online session or rescheduled in accordance with the 24-hour cancellation and rescheduling policy. This requirement is in place to protect the health, safety, and wellbeing of the Proprietor and all clients.

Failure to notify the Proprietor of a contagious illness prior to attending an in-person appointment may result in the session being terminated and managed in accordance with the cancellation policy.


9. Payment Terms

All appointments must be paid in full at the time of booking unless otherwise agreed.

Fees are non-refundable within 24 hours and non-transferable.


10. Fee for Service & Rebate Policy

All services provided by Empress Wellness operate on a private fee-for-service basis.

Services are not eligible for Medicare rebates, private health insurance rebates, or any third-party funding, subsidy, or reimbursement schemes.

By proceeding with a booking, clients acknowledge and accept full financial responsibility for all services provided.

These services are best suited to individuals who are able to commit the necessary time, energy, and financial resources to support their personal wellbeing and therapeutic process.


11. Confidentiality & Privacy

All sessions are conducted in accordance with professional confidentiality and ethical standards. Information disclosed during sessions will remain confidential except where disclosure is required by law, including but not limited to:

·  Risk of serious harm to yourself or others

·  Mandatory reporting obligations

·  Court orders or subpoenas

For online sessions, clients share responsibility for maintaining confidentiality by ensuring privacy within their environment.


12. Data Storage & Record Retention

Client records are securely stored and retained in accordance with applicable Australian laws and professional standards.

Reasonable steps are taken to protect personal information from misuse, loss, or unauthorised access.


13. Recording of Sessions

The appropriateness and purpose of recording sessions will be determined at the sole discretion of the Proprietor.

Where recording is agreed upon, it will be conducted by the Proprietor, and a copy may be provided to the client upon request.

Clients must not record any session without the prior explicit consent of the Proprietor.

Unauthorised recording constitutes a breach of the therapeutic agreement and may result in the immediate termination of services.


14. Case Notes & Medico-Legal Limitations

Case notes are maintained solely for therapeutic purposes.

This service does not provide medico-legal services.

The Proprietor does not provide:

·  Court reports or expert reports

·  Psychological or diagnostic assessments

·  Legal documentation

·  Insurance or compensation reports

·  Family court or criminal court reports

·  Letters or opinions for legal disputes

Sessions are not intended for legal use. The Proprietor cannot provide expert opinion or documentation beyond factual records where required by law.


15. Professional & Ethical Framework

Services are delivered within a holistic framework and may integrate multiple therapeutic modalities.

These services are intended to support personal growth and wellbeing and are not a substitute for medical, psychiatric, crisis, or other clinical models of care.


16. Scope of Service & Crisis Limitation

Services may not be suitable for individuals experiencing acute mental health crises, active suicidality, or conditions requiring immediate clinical or psychiatric intervention.

Clients experiencing acute distress or suicidal ideation must contact emergency services (000) or Lifeline (13 11 14).


17. Client Responsibility & Conduct

Clients must behave respectfully and maintain appropriate hygiene.

Inappropriate or abusive behaviour will result in termination of services.

By booking, you confirm that you are voluntarily engaging in services, understand that outcomes cannot be guaranteed, and will provide accurate and complete information relevant to your wellbeing.


18. Touch-Based Therapies & Informed Consent

Some services may involve therapeutic touch.

By participating, clients acknowledge:

·  Consent is required and may be withdrawn at any time

·  Touch is strictly professional and non-sexual

·  Clients must communicate comfort levels and boundaries

·  Medical conditions must be disclosed

·  Outcomes are not guaranteed

·  Participation is at the client’s own risk

·  Draping and dignity will be maintained


19. Practitioner Rights

The Proprietor reserves the right to:

·  Refuse, discontinue, or modify services

·  Reschedule appointments

·  Modify terms and conditions

·  Modify published information and website details

·  Modify pricing of services and products


20. Limitation of Liability

To the fullest extent permitted by law, the Proprietor is not liable for any direct or indirect loss, injury, or damage arising from participation in services.


21. Agreement

By confirming your booking, you acknowledge that you have read, understood, and agreed to these terms in full.
